We are looking for Administrative Assistants to work in support of the Intelligence community.
Responsibilities:
Provide direct Administrative support to office Leadership Team including Chief, Deputy Chief. Manages and prioritizes the calendars and appointments of the Chief and Deputy Chief, plus others in the Leadership team (apx. 6 personnel total). Manages the travel plans for the Chief and the Deputy Chief, plus others in Leadership team. Supports Staff for vacancy applicant documentation and promotion process documentation preparation for meetings, etc. Member of the Team responding to actions task out and consolidate responses. Timekeeper responsibilities for both Agencies, Supply system requests. Manage desk/space assignments, to include officers on travel and relocations due to a modernization project. Processes all Office visitor requests and inputs information into database. Tracks requests and escorts visitors for the office. Monitors and processes approximately I 00 timesheets for customer employees on a biweekly basis. Validates and reconciles discrepancies with employees and leadership weekly. Maintains leave, training and timecard files for over 100 employees in the division for the division leadership to use as required. Tasks out actions to employees and leadership, consolidates responses and reviews responses with division leadership. Responds to all actions by due date. Consolidates briefing input from across the Office, reformat content and provide final version to Office leadership prior to briefing. Manages all administrative daily functions for Office to include email aliases, key lists, records management, phone contact information, supplies, etc. Determines if efficiencies can be gained and implement and document changes. Monitors office phones for 5 Office personnel. Maintains key and access lists. Draft and Compile FEO Weekly newsletter. Schedules all adhoc and recurring meetings, bi-annual conferences and yearly off-sites for Office. Schedules conference rooms and arranges all required details for the events. Order/manage office supplies for Office and Divisions. Submit IT tickets for Office Leadership Team as needed. Provide backup Administrative support to the front office as needed (infrequent). Collaborates with travel and operations staff to help facilitate TDYs and PCSs for Leadership team. OCONUS, 2 per year for the Chief and the Deputy Chief.
Required Qualifications:
- Clearance: TS/SCI w FS Poly
- HS Diploma and 3 years of relevant experience or equivalent combination of education and experience
- Proficient Word, Excel, Outlook, PowerPoint
- Able to perform duties with minimal supervision and some team interaction.
- Regular day hours, flex time, FTE expected only.
- No TDY.
- No physical requirements other than regular office duty.
- Outlook, Microsoft Office, Sharepoint, MyTraining, proficiency required.
- Prior Government experience desired.
