Job Overview

The Production Management Planning Specialist plays a key role within the Macy's Studios team by supporting interdepartmental strategies and leading project management software and initiatives. This role also handles volunteer coordination and registration for events, oversees software support, and ensures alignment with marketing and enterprise goals for the Macy's Studios team.

What You Will Do

  • Lead the overall project management strategy for the team, maintaining a comprehensive view and timeline for all events throughout the year.
  • Oversee the development and management of new software for the Macy's Studios team, including project management tools, the Parade app, and the FileMaker transition.
  • Manage parade registration, recruitment efforts, and volunteer coordination using our online registration system and internal database (FileMaker Pro).
  • Identify, develop, and implement volunteer community initiatives to strengthen and organize volunteer groups.
  • Collaborate with Macy's Technology teams to integrate an agile approach into daily team activities.
  • Oversee long-term initiatives and assist with implementing new projects, such as the Parade Summit Event and Macy's Intern Tour.
  • Manage projects within the Creative Design & Digital teams, updating the team on weekly timelines and adjusting as needed.
  • Identify and address issues within project timelines to ensure smooth progress.
  • Collaborate with the Macy's Studios group to identify and create processes for areas needing support.
  • Lead strategic discussions for major events like the 50th and 100th anniversaries, and assist in compiling reviews for leadership.
  • Facilitate external team strategy meetings with the merchant team, marketing, digital teams, and others.
  • Manage and oversee campaign timelines for major events.
  • Partner with the Macy's Marketing team on marketing initiatives and Macy's Studios site experiences.
  • Allocate project resources as needed to ensure project success.
  • Present progress reports and problem-solving updates to key leaders.
  • Evaluate each project's results and work with teams to create event recaps.
  • Oversee campaign projects, including creative and advertising work, the Flower Show, Fireworks, and other special cross-functional projects.
  • Collaborate with the Production Management Specialist on the overall project management strategy.
  • Manage two seasonal personnel during the Parade season.

Skills You Will Need

Project Management: Expertise in leading and managing project strategies, including maintaining timelines, overseeing software development, and coordinating events and volunteer activities.

Technology Proficiency: Knowledge of project management tools, including experience with specific software like FileMaker Pro, and the ability to oversee and manage software transitions and integrations.

Volunteer Coordination: Skills in managing volunteer registration, recruitment efforts, and community initiatives, including using online registration systems.

Strategic Planning: Ability to lead strategic discussions, oversee major events, and manage campaign timelines, including handling long-term initiatives and external team strategy meetings.

Collaboration: Experience in working with cross-functional teams, including technology, marketing, creative design, and digital teams, to ensure alignment with goals and successful project execution.

Communication: Excellent communication skills for presenting progress reports, problem-solving updates, and collaborating with team members and leadership.

Organizational Skills: Proven ability to multi-task, manage various projects simultaneously, and allocate resources effectively.

Customer Service: Outstanding interpersonal skills, with a focus on providing excellent customer service and maintaining positive relationships with stakeholders.

Adaptability: Ability to identify and address issues within project timelines, and adapt to changing needs and priorities.

Leadership: Experience in managing personnel, including seasonal staff, and leading strategic discussions and initiatives.

  • Candidates with a bachelor's degree or equivalent work experience in a related field are encouraged to apply. 5-7 years of relevant experience required. 
  • This position requires heavy lifting, constant moving, standing, and reaching with arms and hands. Involves standing for at least two consecutive hours, lifting at least 30 lbs. stooping, kneeling, crouching, and climbing ladders. May involve reaching above eye level. Requires close vision, color vision, depth perception, and focus adjustment.
  • Able to work a flexible schedule, including days, evenings, weekends, and holidays, based on department and company needs.
