Ensures that all health information is managed and maintained in accordance with established regional, state and federal guidelines. Processes all incoming requests for release of information requests, which come via Member Experience Specialist or directly via kp.org, telephone, US mail and facsimile.

Ensures that all health information is managed and maintained in accordance with established regional, state and federal guidelines. Processes all incoming requests for release of information requests, which come via Member Experience Specialist or directly via kp.org, telephone, US mail and facsimile.
Essential Responsibilities:
- Abstracts information from medical record to complete administrative and/or medical forms.
- Ensures that all protected health information is processed in accordance with regional, national, state and federal regulations. Has a solid knowledge/understanding of HIPPA privacy and security issues as it relates to release of information, and/or other regulations related to protective health information.
- Reviews information release requests for appropriateness and validity and manually/electronically logs these requests within 24 hours of receipt.
- Serves as inter and intra department resource for the other staff members, answering questions and providing instructions as necessary.
- Assists new staff and existing staff members on new or revised procedures.
- Opens and distributes departmental mail; prepare and return all correspondence back to the appropriate medical office building as assigned.
- Assists in obtaining complete authorization for release of information forms and answers questions about release of information process.
- Assists in printing information from appropriate computer system for completion of Release of Information (ROI) requests.
- Researches missing medical or other data information and compiles with departmental procedures for follow-up when unable to find the medical/data information after exhausting all search procedures.
- Requests patient charts by accessing the appropriate system.
- Answers inquiries from patients and staff members and instructs them in the appropriate methods of requesting records and/or issues related to completion of requests, including through kp.org.
- Creates and uploads patient information related to diagnostic testing (monitoring strips) into appropriate system(s).
- Enters data into disclosure accounting system in accordance with HIPAA standards.
- Completes cash handling tasks as assigned, which may consist of collecting credit card information, handling checks received by mail and posting payments in the ROI module.
- Performs other duties as directed.
Basic Qualifications: Experience
- Minimum three (3) years of experience with protected health information within a health information management department required.
- Minimum one (1) year of customer service experience required.
- High School Diploma or General Education Development (GED) required.

- Proficiency in the use of applicable electronic medical record computer software, i.e., PACE, KMATE and Health Connect required.
- Ability to effectively abstract computer or paper-based data required.
- Successful completion of standardized test in medical terminology with a proficiency rate of 84%.
- Demonstrates courtesy, helpfulness, and respect in dealings with customers.
- Strong attention to detail required.
- Strong organizational skills and ability to work independently and manage multiple priorities required.
- Good interpersonal skills with the ability to communicate effectively with internal and external customers required.
- Successful completion of a standardized typing test with a minimum of 25 words per minute.
- Bending, lifting and manual dexterity required.
- Employee may be required to lift up to 30lbs.
