Position Description

This is a categorically funded temporary position and continuation of employment is contingent upon availability of grant funds and approval by the Governing Board

Under direction, will evaluate potential students' needs through various assessments and interviews, support soft skills training, prepare students for job application and interview processes, arrange for hands-on experience through paid internships, provide job placement and registered apprenticeship assistance, follow-up with students once placed to ensure a seamless transition into the workforce and gather data on student progress.

Responsibilities

  • Provide assessments, soft skills training, as well as support and guidance to students participating in training programs. Provide job placement assistance for students after the successful completion of training. 
  • Determine appropriate placements for students and match them with employer requests. Be the liaison in direct contact with students, employers, community agencies, and other stakeholders to meet the employment needs of each. 
  • Provide on-going support once placed with an employer, whether direct placement, internship, or registered apprenticeship to ensure program compliance and successful outcomes.
  • Determine, based on instructor(s) performance evaluations and compiled student documentation, appropriate course of action to take for each student. This includes, but is not limited to, intensive counseling recommendations and referrals to partnering agencies.
  • Acquire knowledge of the California Division of Apprenticeship Standards (DAS) parameters to support the transition of students into registered apprenticeship positions.
  • Identify and address barriers that negatively impact employment and/or the academic success of students.
  • Ensure smooth communication with employers and support the marketing to and recruitment of new employers to ensure there is an adequate employer pool to hire students, participate in advisory committees, focus groups and other programs.
  • Act as a liaison between college staff, students, trainers, and employers. Be the primary conduit between pre-apprenticeship students and employers 
  • Co-ordinate and monitor the successful completion of employability skills training for each pre-apprenticeship cohort
  • Responsible for student case analysis, accurate records including monthly pre/apprenticeship progress reports, placement outcomes, and DAS documentation
  • Facilitate pre- and post-assessments to document student progress in job placement activities
  • Develop, implement and maintain outreach strategies to create new relationships with employers in the local region who are looking to hire entry level Maintenance Technicians and other entry level positions. 
  • Market program(s) to appropriate local and state agencies to support in the identification of employers looking for workforce hiring support
  • Record and maintain student records with "activity" reports generated for each participant
  • Collaborate with business and industry to secure internship and registered apprenticeship opportunities; enhance job placement, participation in Advisory committees, focus groups and other programs
  • Attend conferences, workshops, meetings and events as assigned by the Director
  • Support the organization during program completion celebration event, Employer Open Houses, Manufacturing Day and other events
  • Assist with establishing Advisory teams to address future program feasibility, and employability needs including the knowledge, skills, and abilities necessary to complete tasks associated with training
  • Assist with developing and coordinating training calendars in order to market and fill classes and secure appropriate trainers
  • Assist with recruitment of instructor(s) who are appropriately trained to deliver specialized training based on advisory team guidance and recommendations
  • Review instructor evaluations and address any student concerns
  • Assist with research for writing of new contracts and grants
  • Collaborate with grant writers and third parties in order to secure new funding and/or support letters
  • Regularly support the monitoring and evaluation of contracts and grant budgets
  • Research items needed for grant funded training projects and submit quotes for the item(s)
  • Research and assist in reconciling invoicing and billing
  • Submit requests for procurement of required training materials, textbooks, certification fees, equipment, supplies, memberships, contracts for trainers or third parties and all necessary items for administering all grants
  • Create, collect and disseminate program guidelines, student forms, and program materials to appropriate staff and/or students
  • Maintain a database promoting internal and external electronic communication such as Hubspot, WorkHands, SmartSheet etc.

Qualifications

MINIMUM QUALIFICATIONS

  • Education and/or experience that aligns with position responsibilities: a minimum of an Associate Degree, at least two years of experience working with Job Placement or Human Resources responsibilities;
  • Customer Service oriented;
  • Excellent computer skills including experience with MS Office Suite;
  • Excellent communication and collaborative skills; Excellent organization skills
  • Demonstrated evidence of sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds in a community college environment.

SPECIAL CONDITIONS
Working hours: Monday - Friday, 7:30am - 4:30pm. Hours may vary according to the assignment.

CONDITIONS  OF EMPLOYMENTThis is a full-time, 12-month, temporary professional expert position. Continued employment is contingent upon approval of the Chaffey College Governing Board. The salary is $65,000/year. Excellent benefits include: health care, dental program, and vision services for employees and eligible dependents; and retirement coverage through the California Public Employees' Retirement System (PERS).
Being able and ready to work in-person with Chaffey students, Chaffey employees, or other members of the Chaffey community/Chaffey partners/Chaffey contractors is an essential function of this job.
