The CSD Department Administrator (CSD-DA) will support the department’s day-to-day operations and growth, including all modalities and program levels for current and future academic offerings. In partnership with internal and external stakeholders, the CSD-DA will support and execute key administrative functions, including planning and logistics, resource and budgetary oversight, student and customer service, public-facing activities, and website maintenance. The CSD-DA will serve as the administrator with the American Speech-Language-Hearing Association (ASHA) for continuing education workshops, in addition to supporting accreditation visits, guest lectures, new employee hiring and onboarding logistics and serving as a primary point of contact for department faculty, staff, and students. The CSD-DA will be expected to provide high-level service to all department members and colleagues, supporting and attending virtual and physical events. This person will leverage student information systems, enterprise platforms, and other software to manage records, secure data, analyze reports, and communicate and document information.

This is a temporary 6 month position.

ESSENTIAL JOB DUTIES

  • Assist leadership with budget management for the department, analyzing and monitoring expenses and processing all financial transactions.
  • Access and prepare budgetary analysis for CAA, ASHA annual reporting, self-studies, site visits, and other accreditation and compliance purposes.
  • Manage invoices and payments for external vendors.
  • Support department members with financial processes, purchases, fund management (e.g., grants, awards), and business travel.
  • Secure, organize, and oversee accreditation and compliance documentation for reporting submission.
  • Collate, organize, and analyze survey feedback.
  • Schedule meetings, take attendance and minutes, and prepare and distribute materials and resources before and following meetings.
  • Manage department calendars, conference rooms, and associated communications.
  • Coordinate with business vendors and college offices to purchase, install, maintain, repair, and replace office equipment.
  • Place and oversee job orders to maintain and improve CSD facilities.
  • Utilize multiple databases and enterprise platforms (Banner, Workday, Argos, Salesforce, etc.) to maintain accurate records and analyze reports.
  • Manage and maintain digital compliance projects that require archiving, digitizing, destroying, and organizing folders and documents.
  • Oversee and maintain CSD website content changes and social media pages.
  • Manage department resources, information, and communications, such as newsletters, central hubs, Google Drives, promotional materials, videos, etc.
  • Relay updates and information from College departments to faculty and staff.
  • Maintain supplies and equipment inventory, identify needs, and make fiscal purchases.
  • Serve as the administrator with the American Speech-Language-Hearing Association (ASHA) for continuing education workshops.
  • Coordinate, arrange, and support program and department event logistics, such as Immersion, hooding ceremonies, orientations, etc.
  • Manage and coordinate the department’s annual subscriptions.
  • Document and maintain processes, procedures, and annual and semester functions and tasks calendar.
  • In collaboration with the leadership, support course section, schedule and assignment planning, over-enrollments, and special permissions.
  • Coordinate the logistics of hiring and onboarding initiatives.
  • Other tasks as assigned.

QUALIFICATIONS – Qualifications are deemed required or preferred and represent what is needed to perform the job effectively.

  • Associate’s or Bachelor's degree or equivalent experience in a related setting required
  • 2-3 years of experience working in an office environment required
  • Experience with Microsoft Office, Adobe, and Google Suite and webinar technology; familiar with Microsoft Office, Google Suite, Zoom, and presentation software to support remote work and learning required
  • Experience managing heavy volume in a deadline-driven environment and the ability to manage multiple timelines

  • Exceptional accuracy and attention to detail are required.
  • Experience working in higher education and with hybrid and remote personnel
  • Proficiency in using computer software and learning new software quickly.
  • Strong organizational skills and ability to follow through on tasks and requests by working independently and with a high sense of accountability.
  • Excellent customer service and interpersonal skills with personnel at various levels.
  • Self-starter with excellent interpersonal communication and problem-solving skills.
  • Ability to interact sensitively when needed under stressful situations.
  • Ability to maintain confidentiality while managing sensitive information.
  • Comfortable working in a fast-paced environment, with demonstrated ability and comfort to handle multiple tasks and projects.
  • Able to exercise sound judgment and employ decision-making skills.

Compensation for this position will be between $ 24.30 - $29.15 hourly, commensurate with experience.

Scheduled Weekly Hours: 36.25
