JOB SUMMARY: Supervise employees in Operations administrative services to ensure timely and quality support to the Operations Leadership Team. Through subordinate staff, oversee Operations functional areas that include: telephone support, expense reporting, A/P, field and corporate team member travel, Branch Administrator support, Kronos Administration, departmental development meetings, local event planning and other support services as required. Will oversee the Mundelein reception area and directly supervise the Receptionist.

CORE JOB RESPONSIBILITIES: - Supervise the Operations (Ops) administrative team; provide guidance and direction on daily work assignments, projects as they support for the Operations Lead Team. Address complaints and resolving problems.

- Provide professional, accurate, and timely support, contributing to executive, team and departmental objectives. Coordinate meetings and conference calls, including venues, transportation, food, materials preparation and meeting notes transcription.

- Exercise discretion and independent judgment in analyzing information requests and determining trends. Gather, compile, verify, and analyze information for the leader's use in documents such as memos, letters, reports, speeches, and presentations.

- Participate in and/or lead projects as required (ex. annual merit increase administration for the Corporate Operations group, sustainability projects/Green initiatives).

- Key liaison for telecommunication installations and upgrades. Performs coordination of Ops Corp office moves, additions, deletions and changes. May initiate cost-reducing programs for the company, including telecom usage, procurement of office supplies, travel support and expense account compliance.

- Responsible for the training Branch Administrators and their ongoing continued support.

- Management responsibilities include: - Responsible for the day-to-day activities and outcomes of a group of employees. - Hiring staff, recommending pay increases, performing performance reviews, training and development of staff, estimating personnel needs, assigning work, meeting completion dates, interpreting and ensuring consistent application of organizational policies.

Education - High school diploma or equivalent.

Relevant Work Experience - At least 5 years of administrative assistant experience.

Additional:

- Experience using time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates.

- Experience working with cross-functional teams and facilitating teams to identify and implement solutions to complex problems.

- Advanced level skill in Microsoft Excel (for example: using AVERAGE function, merging and centering cells, printing centered page and/or creating a pivot table).

- Advanced level skill in Microsoft Word (for example: adding developer tab, creating a macro, formatting table style, inserting comments and/or creating a mail merge).

- Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font).
