Job Summary

We, the staff and faculty within the Department of Ophthalmology & Visual Sciences and Kellogg Eye Center are committed to improving lives through curing, preventing and treating eye disease. Responsibilities*

  • Work directly with providers and clinics to determine appropriate record requirements/needs
  • Process and transcribe patient paperwork for exams and clinical staff
  • Adhere to Point of Care (POC) scanning guidelines
  • Demonstrate ability to complete multiple tasks independently
  • Identify and track reoccurring operational problems and participate in resolution
  • Required to have knowledge and adhere to University and Departmental policies and procedures
  • Run MiChart reports to identify upcoming patients who need records or testing uploaded
  • Be proficient in digital processes as they pertain to your duties: Epic MiChart, faxing, scanners and phones
  • Adhere to high standards of teamwork by demonstrating adaptability, flexibility, and consistently sharing information and resources
  • Ability to work independently in an ever-changing and potentially stressful environment
  • Demonstrate dependability, initiative, ability to prioritize, and ability to accept direction
  • Excellent oral and written communication skills
  • Maintains proper attendance
  • Maintain patient confidentiality and adhere to HIPAA guidelines

Required Qualifications*

  • Adhere to high standards of teamwork by demonstrating adaptability, dependability, flexibility and consistently sharing information and resources with others
  • Ability to work independently in an ever-changing and potentially stressful environment and possess strong organizational skills
  • Demonstrate initiative, ability to prioritize, and ability to accept direction
  • Excellent attendance record
  • High School diploma or equivalent
  • 3-4 years in customer service setting
  • Knowledge of basic medical terminology
  • Prior experience performing complex scheduling
  • Exceptional interpersonal skills and ability to work well within a team setting
  • Communicates effectively
  • Demonstrates active listening, written, verbal and information technology skills

Desired Qualifications*

  • Prior clerical/PSA experience
  • Familiarity with obtaining medical records
  • Working knowledge of MiChart 
  • Experience in a health care environment
  • Strong office computing experience required, advanced skills with Microsoft Office applications highly desired
  • Considerable knowledge of university policies and procedures related to the responsibility to of the job

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

This position is included in the bargaining unit represented by the Service Employees International Union - Healthcare Michigan (SEIU), which represents bargaining unit members in all matters with respect to wages, benefits, hours, and other terms and conditions of employment. 

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
