Over the last 20 years, the Peabody Essex Museum (PEM) has distinguished itself as one of the fastest-growing art museums in North America. Founded in 1799, it is also the country's oldest continuously operating museum. Under supervision of the Chief Marketing Officer the Marketing Project Specialist will support a cross-discipline team in a fast-paced and highly collaborative environment.

The Department Office Manager will work closely with the Chief Philanthropy Officer (CPO) to ensure the smooth and effective operations of the Development Office. The role involves managing a wide range of administrative duties that support both internal and external communications and operations. The Department Office Manager will take on special projects as directed by the CPO, which may include fundraising and campaign-related initiatives. They will be responsible for preparing high-level materials for board meetings and donor engagements, ensuring that meetings are scheduled, well-organized, and fully prepared in advance. The Department Office Manager will maintain the CPO's calendar and assist with prioritizing communications, travel, and other critical tasks to ensure smooth operations. The position will require someone who can balance a high level of autonomy with the ability to work closely with the Development team, Board Members, and donors to meet institutional goals.

In addition to supporting day-to-day operations, this role will require managing logistics for both internal and external meetings, coordinating catering and venue arrangements by working closely with Donor Engagement, and ensuring that all materials are prepared in a timely manner. The Department Office Manager will work closely with the Development Operations team to track and maintain the CPO's portfolio while assisting with regular communications to key donors. They will also assist the CPO in preparing for external meetings by reviewing relevant materials, drafting correspondence, and creating presentations when needed. Confidentiality and discretion will be critical in this role as the Department Office Manager will regularly engage with sensitive institutional and personnel matters.

The ideal candidate will be someone who thrives in a fast-paced environment, is able to anticipate needs, and can make thoughtful decisions independently. They will possess a high degree of emotional intelligence, understanding the nuances of various interpersonal dynamics, and responding appropriately to ensure smooth, positive interactions. The ability to work collaboratively within a team is essential, as is the ability to manage multiple priorities at once with grace and efficiency. A bachelor's degree or equivalent combination of education and work experience plus 4 years or more of executive administrative experience required. The salary range for this position is $63,774 to $67,525 commensurate with experience.
