POSITION SUMMARY:
This position will support the Program Manager and ERD team in maintaining and updating the ERD System (ERD portal, database and SharePoint), creating, updating and maintaining expats personnel files. Other duties include assisting the ERD team in all different areas of the department.
The essential functions of the position include, but are not limited to the following:
- Assist Program Manager for new hires, expenses and other data input.
- Maintain and update monthly loan report, setting up loan for new expats.
- Create employment verification letter as requested.
- Assist in issuing all necessary reports (periodical ADP reports, immigration, expat allowance related report, expat database information update and follow up, other project base reports etc.)
- Assist in monthly expatriate payroll including but not limited to data input, distribution of checks, maintenance of payroll records, and year-end W-2 distribution in an accurate manner.
- Assist in maintaining and coordinating with each subsidiary's payroll administrator to ensure accuracy of payroll, benefits and tax information.
- Assist in issuing wire transfer form and coordinate with Finance and Accounting Department.
- Maintain and update expat database and distribute notices to expats of their impending expirations such as Immigration data in a timely manner.
- Maintain and update ER Portal, Expat Database, ERD share drives, ERD mail archives as well as ERD SharePoint
- Update hospital list for annual health check periodically.
- Assist in payroll, immigration, benefits, as needed.
- Filing (payroll, immigration, recruitment, MELCO related documents, etc.).
- Making check requests and general invoice processing.
- General office and secretary duties (travel arrangements of business trip for managers' and visitors' air tickets & hotels, request to purchase office supply, faxing, typing, Fed Ex, general mail distribution, etc.).
- Preparation of expatriate's training; logistic arrangements, documentation and coordination of meeting.
- Support expatriate, OJT-CYP mail transferring service and all refund checks after care.
- Assist in preparing for MELCO foreign engineer and designer recruitment and campus interview when requested.
- Maintain all data base such as notices, transferred expatriate's contact information, etc., periodically.
- Assist in year end, tax equalization and income tax returns matters.
- Preparation of documents to extend I-94 and revalidate visas for all MEUS and MELCO's subsidiary Japanese employees and their families if necessary.
- Assist in preparation of documents to apply new visa for expatriate and family from MELCO if necessary.
- Maintain Expatriate's data base and revise US Expatriate's Guidebook periodically.
- Maintain, update and distribute emergency contact list to expats.
- Maintain and update Record Retention annually.
- Some translation both English and Japanese.
- Perform other duties as assigned.
EDUCATION AND EXPERIENCE:
- Bachelor's degree preferred.
- 0-3 years administrative experience.
- Bilingual in Japanese (read, understand, write) required.
- Proficient in MS Word, Excel, Access, Windows.
- Payroll experience in ADP system a plus.
- Excellent communication skills, detail oriented, reliable, and self-starter.
The pay range for this position at commencement of employment is expected to be between $20.39/hr and $25.49/hour; however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. The total compensation package for this position may also include other elements, including commissions based on achieving individual performance and/or sales metrics, incentive compensation and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. Details of participation in these additional compensation and benefit plans will be provided if an employee receives an offer of employment.
If hired, employee will be in an "at-will position" and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
