The University Services Department delivers a high-quality living, learning, research and working environment to the campus community. University Services areas of responsibility include University Services Office, Parking Services and Connect Card Office, University Printing Center, campus-wide printing, Dining, Bookstore, snack and beverage vending, and off-campus merchants participating in the Connect Card Program.

Position Summary

This position supports the Director of University Services, providing assistance with day-to-day operations, excellent customer service, creating spreadsheets and other administrative tools to assist in managing departmental budgets, personnel, and equipment, inputs data to departmental webpages, processes and maintains records of purchases orders, equipment leases, payments to vendors, and assists the Director with projects and administrative responsibilities.

(Full-time, AFSCME position)
TOUR OF DUTY: 8:00 a.m. to 4:15 p.m. Monday - Friday
(with Saturday and Sunday as days off).
(Subject to Change)

This is a non-essential position.

This is an AFSCME unit position and is subject to the terms of that union agreement.

Essential Duties

  1. Provide administrative support to the Director of University Services.
  2. Address departmental inquiries by providing information or appropriate direction. Assist all internal and external constituents with their questions while maintaining positive interactions.
  3. Schedule meetings, maintain calendars, and assist with travel arrangements (planning, reimbursement, etc.).
  4. Attend meetings and take meeting minutes as needed.
  5. Compile data and prepare reports concerning assigned department activities.
  6. Prepare correspondence, notifications, and Community and Students Announcements when needed.
  7. Assist in maintaining University Services websites.
  8. Monitor departmental budgets, create purchase orders, monitor campus wide equipment leases, and maintain office supplies.
  9. Process Flex dollar payments to internal and external partners participating in the Connect Card program.
  10. Monitor revenues and commissions and process commission receipts.
  11. Monitor agreements with off-campus merchants, particularly and process renewals.
  12. Assist the Director with printer and copier requests and coordination with our printing partner.

Required Qualifications

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Preferred Qualifications

  • Ability to create, proofread, and edit material for distribution.
  • Must be detail-oriented, especially with numbers, including monitoring budgets.
  • Ability to complete tasks thoroughly and in a timely manner.
  • Ability to adapt to frequent new technology.
  • Ability to learn or knowledge of Banner system.
  • Knowledge of Microsoft Office, especially, Word and Excel.
  • Ability to learn or experience with website creation and maintenance.
  • Must be friendly and have exceptional creativity and innovation.
