Open Systems Technologies is looking for an Administrative Assistant to work in support of the Intelligence community.
Responsibilities include:
The AA will split their time providing direct assistance to the Chief of Support (C/Support) for this department by assisting with general department tasks and projects related to keeping the office functional. Additionally, they will be one of two first-line representatives for this office the AA will serve as a liaison between department leadership and other customer elements. As such, the selected candidate must convey a positive and professional impression of the office. The AA is in a customer facing position that works with a team, but once tasks are identified, will work independently to ensure completion. The AA must be able to schedule numerous daily meetings and appointments, and help to prioritize, schedule, or reschedule daily calendars for department leadership. Although many requests are transactional, there is an added level of complexity, and critical thinking skills are required to ensure each individual situation is appropriately processed to completion. The Administrative Assistant (AA) will add and remove accesses for all incoming/outgoing personnel, update rosters, seating charts, phone cards, phone trees, organization ( org) charts. The AA will need to greet visitors upon arrival and assist with directions to conference rooms or appointment locations as appropriate. Additionally, the AA will be trained to "set-up" secure video teleconferences (SVTCs . A§ the front office has a constant flow of visitors throughout the day. The AA will need to be able to effectively guide visitors. The AA may be asked to be a secondary office vault custodian with responsibility to add and/or remove office access from members as part of the onboarding/offboarding process. The Administrative Assistant (AA) will manage two shared conference rooms to ensure schedule is up-to-date and readily available for review to all department personnel. At the direction of department leadership, the candidate will provide support for the planning and execution of meetings. The Administrative Assistant (AA) may help manage the time of3 principal's time by applying working knowledge of mission priorities, principal's business area(s) and personal preferences, Sponsor protocol, and organizational hierarchy to screen, vet and prioritize emails, visitors and phone calls. The AA will maintain calendar and schedule items by applying a working knowledge of principal's role and responsibilities in relation to the supported mission, and basic knowledge of larger mission priorities. The AA will provide information or respond accurately to basic questions or technical/administrative issues and requests in a clear, concise, credible, and professional manner, and in the appropriate manner (i.e., verbally by phone or in person, or in writing via email, letter or memorandum). The AA will need to reschedule calendar items to accommodate new requirements and shifting priorities as they occur and apply a basic understanding of the roles and interrelationships among entities, and the implications of making calendar changes. With guidance, the AA will resolve any additional calendar conflicts created by new requirements and notify appropriate personnel affected by the changes.
Required Qualifications:
- CLEARANCE: TS/SCI w FSP
- This requirement calls for a full time AA (40 hours per week) with a Core Hours of 0800-1600. Overtime will be authorized if necessary.
- The AA should have the required ability to lift l0lbs of weight (Office Supplies), and may be required to move between the various departments, as well as to/from the building mail room.
- There is no local travel or TOY requirements for this position.
- HS Diploma and 5 years of relevant experience or equivalent combination of education and experience
- The AA should possess excellent verbal and written communication skills for responding to incoming email and phone calls.
- Proficient Word, Excel, Outlook, PowerPoint
- Able to perform duties with minimal supervision and some team interaction.
