We are seeking a detail oriented and proactive Administrative Assistant II to provide principal support to the Director of the Center for Strategic Initiatives (D/CSI) and the Deputy Director of the Center for Strategic Initiatives (DD/CSI). This role will also involve collaboration as a member of the CSI Support Team, handling various administrative tasks to ensure the smooth operation of the office.Key Responsibilities:
- Principal Support:
- Manage the calendars for D/CSI and DD/CSI, including scheduling, prioritizing, and rescheduling appointments as necessary.
- Prepare and organize materials for meetings, including agendas, presentations, and minutes.
- CSI Support Team Responsibilities:
- Administer Time and Attendance (T&A) records, ensuring accuracy and compliance with organizational policies.
- Respond to requests for information from internal and external stakeholders in a timely and professional manner.
- Manage the mailing of publications and other materials, ensuring proper distribution and tracking.
- Utilize the Enterprise Automated Reporting and Request System (EARRS) for reporting and administrative tasks.
- Order office supplies and maintain inventory levels to ensure the office operates efficiently.
- Prepare routine office reports and documentation as required, ensuring accuracy and adherence to deadlines.
Required Qualifications:
- Clearance: TS/SCI w FS Poly
- Minimum of 2-4 years of experience in an administrative support role, preferably in a government or corporate environment.
- Familiarity with calendar management and administrative processes is essential.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent written and verbal communication skills.
- Attention to detail and a commitment to maintaining confidentiality.
- High school diploma or equivalent required; an associate degree or higher in a related field is preferred
